  • We collect information to help Us in our quest to provide self care resources, share information, raise awareness of important issues, and for project management, research, analysis and evaluation.

  • We only collect the minimum amount of information required to carry out Our legitimate aims and those aims as detailed above. We do not collect or hold unnecessary information. 

  • Thortify collects information that is non personal, such as IP addresses, web page visits. Thortify also collects some personal information including names and email addresses. 

  • We collect information about Our website visitors, workbook users, social media followers and those who attend Our workshops in person.

  • We will do Our utmost to keep all information secure (personal and non personal data). To do this We use encryption, secure backups, multi-layer password protection, double authentication locks and SSL technology (secure server software). 

  • We will never sell Your data or share it with any other organisation for marketing purposes. 

  • We only share data with carefully selected partners and those with whom We work in partnership, and only ever for the purposes of meeting the aims above. We would only share data externally where there is a requirement by law.

By using Our website (www.thortify.co.uk) and Our social media pages (Instagram: Thortifyresilience, Facebook: Thortify), or by providing Your information to Us, You consent to Thortify collecting and using the information provided in numerous ways, as detailed within this policy statement. If You do not agree to this policy, please do not use our sites, social media pages, mailing lists or resources. 

We will review and update our Privacy Policy on occasion. Any changes to the policy will be updated and detailed on our website. The latest change to this Privacy Policy was September 2023.

What do we mean by personal data?

Personal data is any information that can be used to identify a particular individual. This includes their name, home address, phone number and email address.

What data do we collect and for what purpose?

We only collect the information that We need, including information that is useful for Us to improve Thortify resources. We collect two different types of information:

  • We collect non personal data, which includes web pages accessed, files downloaded and IP addresses (a unique number that distinguishes between different computers communicating with Our website). Please note, IP addresses cannot identify your specific location. This information helps Us to see how many people are using Our website, downloading Our files and how much time is spent interacting with Our content. This information helps Us to monitor, analyse and improve Our resources. 

  • Personal data that We collect includes Your name and email address, which is collected via an ‘opt in’ basis. Further evaluation data is collected, however We take every step to anonymise this data at the point of collection and prior to analysis. Evaluation data includes demographic information, such as age group, ethnicity, gender, local authority area, employment type or area, country of residence and information about Your views and preferences related to self care, wellness, creativity and self empowerment.

  • We collect this information to help Us to research, evaluate and adapt Our service to better meet people’s needs and preferences.

  • The data Thortify collects is used for specific purposes, such as distributing Our email newsletters (opt in mailing list), receiving feedback, accepting donations (https://ko-fi.com/thortify) and workshop registration. This information is either needed to enact Your request (e.g. to receive the quarterly newsletter) or to enable Us to improve Our resources and services. You do not need to disclose any of the above information to browse our website or social media pages, or to download our Workbooks. 

We never sell or share Your information with other organisations to use for their own purposes.

How your information is used

Thortify will only ever use the personal information about You collected through Our website and social media pages, for the following reasons:

Thortify will use the data collected to:

  • Fulfill Your requests – such as answering queries or questions, distributing the quarterly newsletter or registration to a particular workshop.

  • Record and process any monetary donations provided through third parties such as Kofi. 

  • To identify and record the volume of visitors to Our website and specific pages. 

  • To communicate any important or essential information relevant to Our project and Your engagement with it.

  • To record any contact We have with You for evaluation and future funding purposes.

  • To prevent or detect fraud or abuses of Our website.

  • To carry out research on the demographics, interests, needs and behaviour of Our participants to help Us gain a better understanding of them and to enable Thortify to improve Our resources, Website and Workbooks. This research will be carried out by Thortify and any results will be collected anonymously and further coded prior to analysis and evaluation.

  • To communicate with participants and people who engage with our project. 

  • If you have agreed to it, to provide You with information that We think may be of interest to you (e.g. opt in quarterly mailing list). 

Data retention

Thortify will hold the information detailed above, for the time required to fulfill the purposes above only and for no longer than is necessary.

Using your information for marketing

Thortify distribute a quarterly email newsletter which is on a purely opt-in basis. You can unsubscribe from this mailing list at any time via the link within the newsletter. 

Correcting your details

If you would like Us to correct, update or delete any of the information that We hold about You, please email Us at thortify@gmail.com.

Sharing your information

We will only share Your information if:

  • We are legally required to do so, e.g. by a law enforcement agency legitimately exercising a power or if compelled by an order of the Court.

  • Thortify believe it is necessary to safeguard or defend Our rights, property or the personal safety of any visitors to Our websites or people who engage with Our activities. 

  • We are working with a carefully-selected partner that is carrying out work on Our behalf, e.g. publication houses, mailing providers, marketing agencies, domain providers and research firms. The kind of work we may ask them to do includes sending email newsletters, carrying out (anonymous) research or analysis and registration at workshops. Thortify carefully selects our partners and We only work with organisations that We trust. We will only share data where we are satisfied that our partners will adhere to the requirements of the GDPR and Data Protection Act, only use the data for the purposes supplied (not their own purposes) and to allow Us to carry out checks to confirm these arrangements are implemented.

The security of your data is very important to Us. Thortify uses a number of methods, processes and mechanisms to protect the security, integrity and confidentiality of your personal information. 

Whilst we strive to protect all information using a robust data management policy, no transmission over the internet can be completely secure, therefore We are unable to guarantee the security of Your information that You share with Us and so any information shared with Us is done so at your own risk. 

Once We have received Your personal and non personal information, We will take all reasonable steps at Our disposal to ensure that Your data is secured in line with the precautions laid out in law. We will protect Your information from misuse, loss, unauthorised access, modification and disclosure beyond the purposes laid out in this policy. 

Other websites

This privacy policy relates only to the activities controlled by Us e.g. the Thortify website, Thortify social media pages, Thortify email newsletter content, Thortify Workbooks, activities and practices. Any third party websites used by Thortify hold their own privacy policies and implement their own practices. We have carefully selected these services to ensure that they comply with relevant UK/EU legislation. We would advise that You read the privacy policies of the other websites for specifics about how they use Your data. For clarity, Our domain is registered with Bluehost, Our website is hosted by Squarespace and Our mailing list is run through Mailchimp. We also use Bit.ly to shorten links, which provides additional data such as link clicks and timestamps.

Cookies and website tracking

Our website is hosted by Squarespace. Squarespace collects personal data when You visit this website, including:

- Information about Your browser, network and device

- Web pages You visited prior to coming to this website

- Web pages You view while on this website

- Your IP address.

Squarespace needs the data to run this website, and to protect and improve its platform and services. Squarespace analyses the data in a de-personalised form.

When You submit information to this website via webform, We collect the data requested in the webform in order to track and respond to Your submissions. We automatically share this information with Squarespace, Our online hosting provider, so that they can provide website services to Us. We also share this information with Google and with Zapier for data porting.

Thortify holds a number of social media pages, including Facebook (Thortify) and Instagram (Thortifyresilience). This policy covers how Thortify will use any data collected from Our social media pages, however it does not cover how the providers of the relevant social media websites will use Your information. Privacy for children

We will never initiate contact with children without first obtaining explicit parental or guardian consent. Where Thortify workshops or activities include children, it is necessary for us to collect data (including parental consent) in order to ensure Our activities are run safely. This will usually be via schools, educational providers, children’s groups and entertainment providers, rather than through direct communication with children. We will always ask children (or providers listed above) to gain permission from parents or guardians prior to engagement and to engage with Our resources and activities with the support of a parent, guardian or authorised facilitator.
